Update the status of a fax-enabled provider referral

Because they're not online, fax-enabled providers can't update the status of their referral in 4Next. To keep the referral progressing, you can update the status when you hear from the provider. 

  • If you haven't already, from 4Next standalone:
  1. Click Cases Sent on the main menu.
  1. Click the patient name to select a case.
  • If you haven't already, from DHeCare (Epic Hyperspace):
  1. Log in to the Case Management or Care Coordinator module.
  2. From the patient encounter, click the 4Next tab.
  • Click Manage to display the case management view.

 Updating the status of a referral for a fax-enabled provider

  1. If it's helpful to narrow down the list of referrals, click to check the Fax checked box option in the Referral Method section of the Filter Results icon Filter Results. Find the referral for the fax-enabled provider.
  2. Click  in the upper right of the provider item, and then click the option on the listoption on the list that the provider has given you.

    Receive Referral - you have seen and are considering the referral

    Accept Pending - you can take the patient, pending additional information

    Offered - you will take the patient

    Deny Referral - you cannot take the patient under current circumstances

    Receive icon Received

    Offered - you will take the patient

    Deny Referral - you cannot take the patient under current circumstances

  3. The popup to change the status automatically includes an appropriate message. Type to add to or edit the message.
  4. Click send.
  • The referral status is updated.
  • Each message is added to the applicable single-provider list and the Communicate message list. Messaging a provider automatically marks all messages from that provider as read Message read icon

  • If the new status is Accepted icon Offered , you can now accept the offer.

Handling failed outbound faxes

Referrals, messages, documents and attachments are sent to verified providers who are not online in 4Next via fax. If you see a "failed" message in the provider's message queue or in the Communicate view , or a fax-enabled provider lets you know that they're not receiving the faxes you're sending:

  • Check that the fax number in 4Next is correct. This information is validated when the provider is given fax-enabled status, but 4Next support relies on the provider to inform us if the number changes. Contact us when a fax number needs to be updated in 4Next.
  • Ask the provider to check that their fax machine is plugged in, powered on, and not busy.
  • Ask the provider to check that their fax machine has paper.
