If you haven't already:
Select ÿStart>Partners Applications>Downtime ADT Tool.
Type your key, then click OK (ALT+O).
The status field in the upper right indicated whether the downtime ADT Tool is currently active. IS staff activate the tool in the event of a PATCOM downtime.
Look up the patient:
Click Select Patient (ALT+S).
Search for the patient:
Search by number—Type the 7-digit MGH medical record number (MRN) or the 10-digit social security number (SSN). Hyphens (-) are not needed. Click Search (ENTER or ALT+S).
Search by name—Type the patient's last name into the Search For field. If you know the first name, enter a comma after the last name and then type the first name. You can enter only part of the name to save time. To narrow the search, type M or F in the Sex field; if you know the patient's date of birth or age, type it into the Birthdate/Age field to narrow the search; if you are estimating the patient's age, type a number for the +/- range in the Years field. Click Search (ENTER or ALT+S).
Press TAB to move through the fields quickly. The more information you enter, the fewer results you will obtain.
From MGH patient lists—Click folders on the left to "drill down" to the list you want within Med Team Groups, Care Units, or Services. Double-click the list to display patients from that list in the pane on the right.
If there is more than one patient listed in the results, click the name to select the correct patient.
Click OK (ENTER or ALT+O).
To deselect the patient displayed, click Clear (ALT+C).
Select the location—Click either INPT (inpatient) or ED (Emergency Department). Select the care unit or treatment area from the left drop-down list. Type the bed number or name in the center text field. Select the bed letter (if applicable) from the right drop-down list.
If needed, click Edit to change the date and/or time of admission.
Click Admit (ALT+A).
To check the census—If the patient is in the ED, click the option. Next, select the inpatient care unit or ED treatment area from the associated drop-down list. The census for the selected unit or area displays below on the right. The patient described on the left is selected in the census.
Transfer is a two-step process. If you do not admit a patient to the new location while the record is displayed in the patient information section, you will have to find the record using patient lookup, and follow the procedure for admitting, described above.
Find up the patient—If the patient is in the ED, click the option. Select the inpatient care unit or ED treatment area form the associated drop-down list.
Click the name to select the correct patient.
To deselect the patient displayed, click Clear (ALT+C).
Click Transfer (ALT+T).
When prompted, click OK (ENTER) to verify that you are transferring the patient, or Cancel to go back.
Select the new inpatient location—If transferring to a different care unit, select from the left drop-down list. Type the bed number or name in the center text field. Select the bed letter (if applicable) from the right drop-down list.
If needed, click Edit to change the date and/or time of transfer.
Click Admit (ALT+A).
To check the census—Select the inpatient care unit from the drop-down list. The census for the selected unit or area displays below on the right. The patient described on the left is selected in the census.
Find up the patient—If the patient is in the ED, click the option. Select the inpatient care unit or ED treatment area form the associated drop-down list.
Click the name to select the correct patient.
To deselect the patient displayed, click Clear (ALT+C).
Click Discharge (ALT+D).
When prompted, click OK (ENTER) to verify that you are discharging the patient, or Cancel to go back.
To check the census—If the patient was in the ED, click the option. Next, select the inpatient care unit or ED treatment area form the associated drop-down list. The census for the selected unit or area displays below on the right.
The date and time for starting the report defaults depending on whether the Downtime ADT Tool is currently active. IS staff activate the tool in the event of a PATCOM downtime. If the tool is NOT active, the report defaults to 24 hours ago. If the tool IS active, the report defaults to the date and time that the tool was activated.
The end date and time for the report defaults to the current date and time.
If you haven't already, click Reports (ALT+R).
Adjust the dates and times for the start and end of the report to find the selected transactions within that time range.
To limit the report to one type of transaction, click an option—Admission, Transfer, or Discharge. Click All to report on all three (3) transactions.
Click Run Report (ALT+R).
The report is sorted by the date/time of the transactions, from oldest to most recent.
To display the report in an Excel spreadsheet, click Open file in Excel (ALT+O).
You must have authorization to access either the AdmUser/BEDMGMT/Downtime folder in the SFA13 shared drive or the secure is/mgh-oe/reports/temporary folder on SFA11 to save the report as an Excel file.
