Initially, the Filter/Sort View initially displays index items within the time frame you have specified in the Results Viewer (in the lower right corner of each tab). If the Results Viewer time frame is set to Most Recent, the Filter/Sort View displays the Most Recent default time frame specified in your Notes Page preferences (on the Options page).

• To adjust the time frame, click to select or clear the MR (Most Recent) check box, if desired.

• Do either of the following:

-      If MR is selected, the default MR time frame displays. Select an option in the From field to change the duration of data to be retrieved. Then click Submit.

-      If MR is not selected, enter a date in the From and To date fields, or click the  next to either field to select a date from a calendar. When you are finished, click Submit.

• Scroll to the index item, and click it. Or, if you want to review items in order, click an item in the index, and then use the up/down arrow keys to display the detail for each item.

• To view an item in full screen mode, right-click the item in the index. When you are finished, click the on the upper right corner of the screen.  The popup screen auto-closes if you open a new note, navigate to a different Results screen, or change patients.

Note: If the popup is not visible, it may have opened behind the current screen. To redisplay the popup, right-click the index item again.

• Click a column heading to sort the list in descending order for that column.

Note: The relative order of sorted items is not set. Be sure to check the dates of sorted items when reviewing.

• To reverse the sort order, click the column heading again.

• To clear all changes to the index (sorting/ filtering/searches), click the Submit button on the top right of the screen.

Filtering allows you to remove items from view.

1.    Click the arrow below a column heading. A drop-down list displays. Initially, all items are selected.

2.    Clear check boxes to exclude items. (Or use the uppermost check box next to the Search Column link. It acts as a toggle to deselect or select all items in the drop-down. Then select/deselect items as desired.)

      Important note:  It is recommended to keep blank spaces selected so you do not inadvertently filter out relevant documents.

3.    Click the Submit link at the bottom of the drop-down to filter to selected items.

      From here you can filter, sort, or search additional columns.

      To reset the filter, click the arrow on the red field to reopen the drop-down list, and click Reset. Or, to clear all changes to the index (sorting/filtering/searches), click the Submit button on the top right of the screen.

Filtering Tips

• If you want only a few of many, it is easier to use uppermost check box to deselect all items, then select the few items you want to include.

• To “quick filter” to one item, click that row in the drop-down list.

• Cancel closes the drop-down list without applying any new changes.

A column search allows you to search for and display items containing specific column data.

1.   Click the arrow below a column heading to display drop-down list.

2.   Click the Search Column link. The Search Column dialog box displays.

3.   Contains is selected by default. Click to select Starts with, if desired. Then type a search term in the text box. (Search terms are not case-sensitive.)

4.   Click Search. Items that match the search criteria are displayed in the index.

      From here you can search, filter, or sort additional columns.

      To reset the search, click the arrow on the red field to reopen the drop-down list, and click Reset. Or, to clear all changes to the index (sorting/filtering/searches), click the Submit button on the top right of the screen.

If previous versions of a document are available, the index item includes a History link. Hold the mouse pointer over the link to see when the current version was last edited. Click the History link to open the Document History window, where you can select a previous version to view. For details, see Viewing Document History.

Note: In the EHR Viewers, document history is limited to items from the PHS Document Repository. (e.g. It is not available for LMR notes.)

Click the  at the upper right corner of the page.

Note: Within the CAS, if you change patients, screens, or applications, the notes view closes. If you switch to an application outside of the CAS, the view remains open. You may have to select it on the taskbar to view it again.
