Fax a paper document to attach it to a case (inbound faxing)
Paper documents can be scanned to create an electronic file, which can then be added to the case as an attachment. (See Attaching documents to a case.) You can also fax a paper to 4Next to attach it to the case, but you must include a cover page from 4Next to identify the patient case it belongs to.
- If you haven't already, from 4Next standalone:
- Click on the main menu.
- Click the patient name to select a case.
- If you haven't already, from DHeCare (Epic Hyperspace):
- Log in to the Case Management or Care Coordinator module.
- From the patient encounter, click the 4Next tab.
- Click Manage to display the case management view.
Printing a fax cover page
To fax a paper form as an attachment to a case, you need to print a cover page to identify the patient and type of document. You can print the cover page to a printer or to a fax machine. A separate cover page is needed for each document, to identify which document is being attached.
- Click ⋮ in the case type section in the upper right, and then click the
Generate Fax Cover Page option.
- Click to select an option from the attachment category list.
- The cover page is displayed.
- To generate a paper copy of the cover page to a printer, click print. When prompted, set up the printout, and then click the Print button.
- To generate a paper copy of the cover page to a fax, click send to fax. When prompted, type or paste the 10-digit fax number, and then click send. (Click
in the background or press the ESC key to cancel.)
- To return to the Case Management view, click close.
Attaching a paper document by fax
- A separate cover page is required for each document, to identify what it is.
Check that the cover page is perfectly legible; it should have three barcodes: the case ID, MRN, and document category. Any streaks, smudges, wrinkles, or other deformities will significantly delay or prevent the upload of the document to 4Next.
- Arrange the papers on the fax device to ensure that the cover page will be faxed before the document.
- Fax the papers to the inbound fax number on the cover sheet.
- Remove the paper from the fax device, and ensure that all pages are transported and stored to protect the patient's privacy.
Preventing failed inbound faxes
4Next support is automatically notified when an inbound fax fails, and can manually attach the failed fax to the case. To prevent inbound fax failures:
- Check that you included a 4Next inbound faxing cover page as the first page in the fax.
- Verify that the 3 bar codes on the 4Next inbound faxing cover page are present and perfectly legible. The bar codes are
- Check that the fax machine you're using is printing clearly. If it isn't, get the toner cartridge changed, or use a different machine.
