Working in Adobe Reader

When you click Preview, the system generates the extract based on the selected site, data categories, and time frame, and then displays it as a PDF file in Adobe Reader.

• Navigating

  To move through document pages, you can:

     -  Use the scroll bar.

     -  Use the up arrow and down arrow buttons.

     -  Type a specific page number in the page number field; then press Enter.

     -  Click View > Go To to bring up a menu of additional options and keyboard shortcuts.

     -  Click View > Navigation Panels > Bookmarks; then use the Bookmark panel to jump to a specific report section.

     -  From the Table of Contents for an extract, click the page number.

• Changing the Magnification (Zoom)

  The Adobe Reader is set to display one entire page on the screen at once. To increase or decrease the magnification, do any of the following:

     -  Click the plus (+) or minus (-) button.

     -  Select a different magnification % from the drop-down list.

     -  Type over the current magnification %; then press Enter.

     -  Click View > Zoom to bring up a menu of additional options and keyboard shortcuts.

• Searching for Text

  To search for text: Click the page where you want to begin searching (such as the first page of the document or the first page of a section). Select Edit > Find (Ctrl+F) to display a search field at the top of the screen. Type the text in this field, then press Enter. Adobe Reader highlights the first occurrence of the search text.

  To continue searching down (toward the end of the document): Make sure your cursor is still in the field, then press Enter. Adobe Reader highlights the next occurrence of the search text.

  Note: You can also use the Find Previous and Find Next buttons to find additional occurrences of the search text.

  Caution! The search does not include the body of scanned documents. To find scanned documents in the preview, search for the word "scanned." You can also find and review scanned notes using the Notes Filter.

• Printing

  To print from Adobe Reader, click File > Print or click the printer icon. Printing from within Adobe Reader allows you to:

     -  Select a printer other than the workstation's default printer.

     -  Save processing time. (It eliminates the need to return to the HIS Extract window and select Print, which re-generates the extract.)

• Saving

  Note: It is highly recommended that you save the extract using the Save As PDF option on the HIS Extract window.

  If you choose to save the extract from the Adobe Reader File menu, do not save it to your Temp folder on the site's SFA. The Temp folder is temporary storage—the system automatically deletes the folder's contents when you start or end the HIS Extract session.

• Returning to the HIS Extract Window

  When you are ready to return to the HIS Extract window, you can either end the Adobe Reader session or keep it running in the background. Choosing to keep the Adobe Reader session running in the background allows you to have multiple Adobe Reader sessions—each with a different PDF file—running at the same time.

The automatic cleanup of the temporary folder can only occur if the document in the PDF reader is closed BEFORE you exit HIS Extract. Remember to ALWAYS close the PDF Reader when you are finished with a file.

As always, remember to clean up any files saved as PDF outside of the temporary folders.

Authorization for the HIS Extract application and the HIM SFA are two different things. If you are a new user and you get a notification that you cannot access the SFA, click the No button to return to HIS Extract. Check with your manager to ensure that you have been authorized for the HIM SFA.
